Oknowl Labs Inc. respects the privacy of people who visit the Oknowl public website or submit a business inquiry. This Privacy Policy explains what personal information we collect, why we use it, the service providers involved, how long we keep it, and the choices and rights available to you.
Contact inquiry: high-level and non-confidential only. The public contact form is designed only for a high-level, non-confidential product inquiry about operational knowledge. Do not include personal information about other individuals, customer or employee records, regulated information, trade secrets, security credentials, proprietary technical details, privileged material, or information you are required to keep confidential.
1. Scope
This Privacy Policy applies to oknowl.com and oknowl.ca, including redirected or related subdomains, the public Oknowl landing page, the public contact form, and related public pages or communications that link to this Policy, collectively the "Website."
It applies to personal information handled in connection with Website visits, security, business inquiries, preliminary fit conversations, and related correspondence. It does not govern employee information, vendor-management records, a private product environment, or information processed under a separately signed customer agreement.
2. Who is responsible
Oknowl Labs Inc. is responsible for the personal information described in this Policy. Oknowl is an Alberta-based Canadian technology company operating the public brand "Oknowl."

The Privacy Officer is the position responsible for Oknowl's public Website privacy practices and for questions about service providers outside Canada.
3. Information we collect
3.1 Information you choose to provide
The contact form may collect your name, work email, optional organization, one high-level description of what you would like to discuss, and your legal acknowledgment. If you deliberately attach a complete fictional Shared Reality experience, the inquiry may also include its public situation title, approved fictional scenario context, the five selected public context-dimension labels and titles, any visitor-selected familiarity statements, and a generated count summary confirming that the complete package is attached. The fictional context remains clearly separated from your real operational description. Follow-up correspondence may contain additional information you choose to provide.
Provide only information reasonably necessary for us to understand and respond. Do not include information about another identifiable person unless you are legally authorized to provide it and it is necessary for the stated purpose.
3.2 Information processed automatically
Oknowl and its hosting and security providers may process limited technical and security information when your browser requests a page or attempts a submission. This may include an IP address or approximate network information, request date and time, requested page and response status, referrer, browser, device, operating system, language, user-agent information, request headers, rate-limit or anti-abuse information, and error or security-event information.
If a contact inquiry is accepted for delivery, Oknowl's contact-delivery and mailbox providers may also process delivery status, routing information, the exact authorized submission contents, and limited provider logs needed to transmit, protect, or troubleshoot the message.
We seek to minimize logs and avoid placing the full knowledge-context description, name, or email address in diagnostic logs unless reasonably necessary to investigate a specific incident.
3.3 What happens before and after authorization
Exploring a fictional Shared Reality situation, selecting context dimensions, or marking a statement as familiar sends nothing to Oknowl. Those interactions remain in the current browser page. The complete approved context package is included only if you deliberately attach it and later send the inquiry. The generated package summary contains only the number of attached context dimensions and selected familiarity statements. Unselected familiarity statements and interaction history are not included.
Until you choose Send inquiry, the visible form values and any optional Shared Reality summary remain in the current browser page and are not intentionally stored by Oknowl in browser storage or an Oknowl website database.
When you choose Send inquiry, your browser transmits the visible form values and any included Shared Reality summary through the Website hosting infrastructure to Oknowl's same-origin contact boundary. Oknowl treats the inquiry as received only when the Website displays Inquiry received and, when available, a reference. If the Website displays a not-sent message, Oknowl has not confirmed receipt and you should not assume the inquiry reached the Oknowl mailbox.
A successfully received inquiry is delivered to an authorized Oknowl business mailbox for human product review. The public Website does not duplicate the inquiry in a public-facing application database. A receipt confirms boundary processing only; it does not mean Oknowl accepted an engagement, reached a diagnosis, or established customer value.
3.4 Cookies and similar technologies
Oknowl's public application code does not set cookies, use local or session browser storage, run behavioural advertising, perform cross-site tracking, record user sessions, or enable non-essential marketing analytics.
The Website is hosted using Google Firebase Hosting. Google may process limited service, request, network, and security information to provide and protect the hosting service. Hosting and security technologies may change their behavior in response to risk and may use strictly necessary measures. Oknowl does not currently enable Firebase Analytics, Firebase Authentication, Firestore, advertising pixels, social tracking, chatbots, or embedded marketing tools on the public Website.
If Oknowl later introduces a non-essential analytics, advertising, social, session-recording, or consent-requiring technology, we will review the change, update this Policy, and add an appropriate consent or preference mechanism before use where required.
4. Why we use information
We use personal information to:
- deliver, operate, maintain, and secure the Website;
- validate submissions and prevent spam, fraud, abuse, or malicious activity;
- assess whether the high-level operational knowledge context and intended intelligence use may be suitable for an Oknowl product or Pilot conversation;
- respond, ask clarifying questions, or arrange a preliminary fit discussion;
- maintain necessary records of submissions, acknowledgments, correspondence, and decisions;
- troubleshoot delivery failures, Website errors, or security incidents;
- protect the rights, property, systems, and safety of Oknowl, visitors, providers, and others; and
- comply with law, lawful requests, and enforceable legal process.
We do not use a contact inquiry for a materially unrelated purpose without appropriate notice and consent where required.
5. Consent and other lawful handling
By voluntarily providing information after receiving the just-in-time contact notice and this Policy, and then selecting the required acknowledgment, you consent to Oknowl's reasonable collection, use, and disclosure for the identified purposes, subject to applicable law. Some processing may be permitted or required without consent where authorized by law, including certain security, investigation, records, compliance, or legal purposes.
You may withdraw consent to future optional processing by contacting us, subject to legal, contractual, evidentiary, security, and reasonable business limits. Withdrawal does not invalidate processing that was lawful before withdrawal and may prevent us from continuing to respond.
Where another data-protection law applies, Oknowl may also rely on steps requested before entering a contract, legitimate interests in operating and protecting the Website and responding to business inquiries, compliance with legal obligations, or consent for genuinely optional activities.
6. How we share information
Oknowl does not sell personal information and does not share contact-inquiry information for cross-context behavioural advertising.
We may disclose information only as reasonably necessary to:
- Google and relevant providers or subprocessors for Firebase Hosting, network delivery, and security;
- an approved server-side contact-delivery provider and business-mailbox provider when contact delivery is activated;
- authorized Oknowl personnel and contractors who need access to assess or respond to an inquiry or administer the Website;
- professional advisers such as lawyers, accountants, auditors, insurers, or security specialists;
- authorities where disclosure is required or permitted by law or reasonably necessary to protect rights and safety; and
- parties involved in a legitimate corporate transaction, subject to appropriate safeguards and applicable law.
Service providers are expected to process personal information only for authorized purposes and to use reasonable safeguards. Oknowl remains accountable for personal information under its control as required by applicable law.
7. Service providers and processing outside Canada
The Website uses Google Firebase Hosting. Firebase Hosting operates on global infrastructure and may process information in Canada, the United States, and other locations where Google or its providers maintain facilities.
When the contact route is successfully activated, approved delivery and mailbox providers may process or store submission information outside Alberta or Canada. Information in another jurisdiction may be subject to that jurisdiction's laws and lawful access rules.
Oknowl uses contractual, organizational, and technical measures intended to provide appropriate protection. You may request information about Oknowl's current provider categories, processing countries, and written policies concerning service providers outside Canada by emailing the Privacy Officer at hello@oknowl.com with the subject "Privacy Request."
8. Retention and deletion
Oknowl retains personal information only as long as reasonably necessary for the identified purposes, legal obligations, security, dispute management, and legitimate business needs. The public-inquiry schedule is:
- unqualified or inactive inquiries are deleted or de-identified within 12 months after receipt or the last routine interaction, unless a longer period is reasonably necessary;
- potential commercial opportunities may be retained for up to 24 months after the last substantive interaction;
- security and diagnostic logs are normally retained for approximately 30 to 90 days, unless needed for an incident, abuse investigation, legal hold, or provider-required security purpose;
- acknowledgment evidence is retained as reasonably necessary to demonstrate appropriate notice and handling;
- if an inquiry becomes a customer engagement, relevant records move to the agreement and retention schedule governing that engagement; and
- legal or incident records are retained as required by law or reasonably needed to establish, exercise, or defend rights.
Actual deletion timing may be affected by backups, provider-controlled logs, legal requirements, security investigations, unresolved requests, disputes, and technical restoration processes. When information is no longer required, Oknowl will delete, destroy, or de-identify it using measures appropriate to its sensitivity and format.
9. Security safeguards
Oknowl uses reasonable administrative, technical, and organizational safeguards appropriate to the sensitivity and context of the information. Intended controls include encrypted transport, server-side validation, request-size and rate limits, spam protection, restricted secrets, limited mailbox access, multi-factor authentication where available, least-privilege access, minimized logging, and incident-response procedures.
No Internet transmission, website, email system, or storage environment is completely secure. Submit only the minimum high-level information requested and do not use the public contact form for sensitive or confidential material.
10. Your rights and choices
Subject to applicable law, identity verification, and lawful exceptions, you may request:
- information about Oknowl's handling of your personal information;
- access to personal information under Oknowl's control;
- correction of inaccurate information;
- withdrawal of consent to future optional processing;
- deletion, restriction, objection, or portability where applicable; and
- information about service providers outside Canada or transfer safeguards.
Email hello@oknowl.com with the subject "Privacy Request." We may request information reasonably necessary to verify identity, authority, and scope.
11. Marketing communications
Sending a contact inquiry permits Oknowl to send messages reasonably necessary to acknowledge and respond to that inquiry. It does not subscribe you to a newsletter or ongoing marketing. Any future marketing enrollment will use a separate optional process and an unsubscribe method.
12. Children
The Website is intended for business representatives and is not directed to children under 16. Children should not submit information. If Oknowl learns that a child submitted personal information, we will take reasonable steps to delete it and address applicable legal requirements.
13. Third-party websites
This Policy does not govern third-party websites or services linked from the Website. Review their privacy notices and terms before providing information.
14. Privacy incidents
Oknowl maintains procedures intended to identify, contain, investigate, document, and respond to privacy and security incidents. Where a breach creates a legally reportable risk, Oknowl will make required notifications and keep required records.
15. Changes to this Policy
Oknowl may update this Policy to reflect changes in law, the Website, service providers, the public contact form, cookies, analytics, business practices, or processing purposes. The current version will display an effective date and version number. We will not use information already collected for a materially new and incompatible purpose without appropriate notice and consent where required.
16. Questions and complaints
Questions, requests, or complaints should first be directed to the Privacy Officer at hello@oknowl.com. If a Canadian privacy concern is not resolved, you may have the right to contact the Office of the Information and Privacy Commissioner of Alberta or the Office of the Privacy Commissioner of Canada. Other local regulator rights may apply.
